Terms of Service

These terms of service (“Terms”) govern your access to and use of the VoxBase platform, website, and related services (the “Service”) provided by SIGMA DIGITAL MARKETING SRL (“VoxBase”, “we”, “us”, or “our”), a company registered in Romania. By creating an account or using the Service, you agree to be bound by these Terms.

1. Acceptance of terms

By accessing or using VoxBase, you confirm that you are at least 18 years old, have the legal authority to enter into these Terms, and agree to comply with them. If you are using the Service on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms.

If you do not agree with any part of these Terms, you must not use the Service.

2. Service description

VoxBase is a subscription-based platform that provides access to a curated database of UK journalist and media professional contact information. The Service includes AI-powered search functionality, media list management tools, journalist profile information, and contact reveal features.

We are actively developing additional features including creator databases, email outreach tools, and expanded geographic coverage. These features will be added to the platform as they become available and may be subject to additional terms.

3. Your account

You must create an account to use VoxBase. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You agree to provide accurate and complete information when creating your account and to keep it up to date.

Each user seat is for a single named individual. You may not share login credentials between multiple people. If you need additional users, please add seats through your account settings.

You must notify us immediately at contact@getvoxbase.com if you become aware of any unauthorised use of your account.

4. Free trial

New users are eligible for a 14-day free trial with full access to the features of their chosen plan. No credit card is required to start a free trial.

At the end of the 14-day trial period, you will be prompted to enter payment details to continue using the Service. If you do not provide payment information, your account will be paused. You will retain access to view your existing media lists and data, but you will not be able to perform new searches, reveal new contacts, or create new lists until you subscribe.

We reserve the right to limit free trial eligibility to one trial per person or organisation.

5. Subscriptions and payment

5.1 Billing

Paid subscriptions are billed either monthly or annually, depending on the billing cycle you select. All prices are listed in pounds sterling (GBP) and are exclusive of VAT where applicable. VAT will be added where required by law.

5.2 Payment processing

All payments are processed by our payment partner, Stripe. By subscribing, you also agree to Stripe’s terms of service. We do not store your credit card details on our servers.

5.3 Auto-renewal

Subscriptions automatically renew at the end of each billing period unless you cancel before the renewal date. Monthly plans renew every month. Annual plans renew every 12 months. You will be charged using the payment method on file.

5.4 Cancellation

You may cancel your subscription at any time from your account billing settings. Cancellation takes effect at the end of your current billing period. You will retain full access to the Service until your paid period expires. We do not offer prorated refunds for partial billing periods on cancellation.

5.5 Plan changes

You may upgrade your plan at any time. Upgrades take effect immediately, and you will be charged a prorated amount for the remainder of your current billing period. Downgrades take effect at the start of your next billing period.

5.6 Price changes

We reserve the right to change our pricing. If we increase prices, we will give you at least 30 days’ notice by email before the new pricing takes effect. If you do not agree with the new pricing, you may cancel before it takes effect.

6. Acceptable use

You agree to use VoxBase responsibly and lawfully. You must not:

  • Spam journalists: Use contact information obtained from VoxBase to send unsolicited bulk emails, automated outreach, or messages unrelated to legitimate media relations. All outreach must comply with applicable anti-spam legislation, including the Privacy and Electronic Communications Regulations (PECR).
  • Resell data: Resell, redistribute, sublicense, or make available any journalist contact data obtained from VoxBase to third parties, whether for free or for payment.
  • Scrape or bulk download: Use automated tools, bots, scrapers, or scripts to extract data from VoxBase, or systematically download data beyond what is necessary for your normal use of the Service.
  • Circumvent limits: Attempt to bypass contact reveal limits, seat limits, or other usage restrictions associated with your plan.
  • Misuse the platform: Use VoxBase for any purpose that is illegal, harassing, defamatory, or otherwise harmful.

We reserve the right to suspend or terminate your account without notice if we reasonably believe you have violated these acceptable use provisions.

7. Data accuracy

We make reasonable efforts to ensure that journalist contact information in our database is accurate and up to date. We verify email addresses, regularly audit records, and provide mechanisms for journalists to update their own information.

However, journalist roles and contact details change frequently. We cannot guarantee that every record is accurate at the time you access it. VoxBase is provided “as is” in this regard. You are responsible for verifying the suitability and accuracy of any contact information before using it for outreach.

If you discover inaccurate information, we encourage you to report it through the platform so we can investigate and correct it promptly.

8. Intellectual property

8.1 Our intellectual property

The VoxBase platform, including its database, software, AI models and implementations, user interface, design, branding, and all related content, is the proprietary property of SIGMA DIGITAL MARKETING SRL and is protected by intellectual property laws.

The curated journalist database — including the selection, arrangement, enrichment, and presentation of data — is a proprietary asset of VoxBase Ltd. While individual data points may be publicly available, the database as a compiled, structured, and enriched whole is our intellectual property.

8.2 Your licence

Your subscription grants you a limited, non-exclusive, non-transferable, revocable licence to access and use the VoxBase platform and its data for your own legitimate media relations purposes during the term of your subscription. This licence does not grant you ownership of any data, content, or intellectual property.

8.3 Your content

You retain ownership of media lists, notes, and other content you create within VoxBase. You grant us a limited licence to store and process this content as necessary to provide the Service.

9. Confidentiality

You agree to treat journalist contact information obtained through VoxBase as confidential and to use it only for the purposes permitted by these Terms. You must not disclose contact details to third parties who do not have an active VoxBase subscription.

10. Limitation of liability

To the maximum extent permitted by law, SIGMA DIGITAL MARKETING SRL shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of revenue, loss of profits, loss of business, loss of data, or loss of goodwill, arising out of or in connection with your use of the Service.

Our total aggregate liability to you for any claims arising from or related to your use of the Service shall not exceed the amount you have paid to VoxBase in the 12 months immediately preceding the claim.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by applicable law.

11. Indemnification

You agree to indemnify and hold harmless SIGMA DIGITAL MARKETING SRL, its officers, directors, and employees from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, or your violation of any applicable law or the rights of any third party.

12. Termination

You may close your account at any time from your account settings or by contacting us. We may suspend or terminate your account if you violate these Terms, fail to pay subscription fees, or if we are required to do so by law.

Upon termination, your right to use the Service ceases immediately. We will retain your data for 30 days after account closure to allow for account recovery if requested, after which your personal data will be permanently deleted in accordance with our Privacy Policy.

13. Changes to these terms

We may update these Terms from time to time. When we make material changes, we will notify you by email at least 30 days before the changes take effect and update the “Last updated” date. Your continued use of the Service after the changes take effect constitutes acceptance of the revised Terms.

14. Governing law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
